What Personal Data We Collect

Information You Give Us

When you use our website, transact with us, or get in touch, we may ask you to provide some or all of the following:

Identity Verification Data (Anti-Money Laundering)

As a precious metals dealer, we are required by law to comply with the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017. This means we may be legally required to collect and verify your identity before completing certain transactions.

The lawful basis for collecting and processing this data is legal obligation (UK GDPR Article 6(1)(c)). You are required to provide this information by law, and we cannot complete certain transactions without it. Identity verification records are retained for a minimum of five years following the end of a business relationship, in accordance with the Money Laundering Regulations 2017.

Usage Data

Usage Data is collected automatically when you visit our website. It may include information such as your IP address, browser type and version, the pages you visit, the time and date of your visit, and the time spent on each page.

Gold Traders uses the IP2Location.io IP geolocation service to understand the geographic distribution of our website visitors.

  • To manage your requests and enquiries - to respond to questions or requests you make to us. Lawful basis: legitimate interests.
  • For targeted advertising - to show you relevant adverts on third-party websites based on your visit to our website. You can opt out at any time (see Advertising and Remarketing section below). Lawful basis: legitimate interests.
  • For business continuity - in the event of a merger, acquisition, or sale of assets, your data may form part of that process. We will notify you if this occurs. Lawful basis: legitimate interests.

CCTV

We operate CCTV systems at our branch premises in Royal Wootton Bassett and Bodmin, and during the handling of items received by post. CCTV is used for security, crime prevention and detection, and to ensure the safe and accurate handling of items we receive.

The lawful basis for operating CCTV is legitimate interests (UK GDPR Article 6(1)(f)). CCTV footage is generally retained for up to 31 days, unless it is required in connection with a specific incident, investigation, or legal matter, in which case it may be retained for longer.

Sharing Your Personal Data

We may share your personal information in the following circumstances:

  • With Service Providers - third-party companies that help us operate our business, such as website analytics, email marketing, payment processing, and fraud prevention services. These providers act as Data Processors and only process your data on our instructions.
  • Within our group of businesses - Gold Traders is part of a group of businesses under common ownership, which also includes RWB Auctions and The Britannia Coin Company. Where relevant, we may share information between these businesses.
  • With law enforcement and regulators - where we are required to do so by law, including to meet our Anti-Money Laundering obligations, or in response to a valid request from a public authority such as a court or government agency.
  • In connection with a business transfer - if we are involved in a merger, acquisition, or asset sale, your personal data may be transferred as part of that process. We will provide notice before this happens.
  • With your consent - for any other purpose where you have given your explicit consent.

Data Retention

We retain your personal data for as long as is necessary for the purposes for which it was collected, and to meet our legal obligations. The following retention periods apply as a general guide:

  • Transaction records - retained for six years following the transaction, in line with HMRC requirements.
  • Anti-Money Laundering and identity verification records - retained for a minimum of five years from the end of our business relationship, as required by the Money Laundering Regulations 2017.
  • CCTV footage - retained for up to 31 days, unless retained longer in connection with a specific incident. See our CCTV Policy for full details.
  • Marketing data - retained until you withdraw your consent or opt out of communications.
  • Website usage data - generally retained for a shorter period, unless required for security or service improvement purposes.

Transfer of Your Personal Data

Your personal data is primarily processed within the United Kingdom. If data is transferred outside the UK - for example, by a third-party service provider - we ensure that adequate safeguards are in place in accordance with UK GDPR requirements before any transfer takes place.

We do not store or collect your payment card details - this information is provided directly to our payment processor, which handles it in accordance with PCI-DSS security standards (a set of rules managed by Visa, Mastercard, and other major card brands to ensure payment data is handled securely).

Advertising and Remarketing

We use remarketing services to show relevant adverts to people who have previously visited our website. These services use Cookies and similar technologies to recognise your device across different websites and browsers.
